In the previous article we discussed the challenges and requirements of the modern organization to create well trained, knowledgeable employees. This article will explain how those challenges can be largely overcome through adopting new methods of learning and training and how we can leverage technology effectively to achieve those goals. The new rules of the game are:

Learning must be bite sized – Providing content in small pieces (that requires no more than 5 to 10 minutes). For example, instead of providing a large manual or process document, we must provide small videos of no more than 3 to 5 minutes where each topic, feature or concept is explained by an expert. Our YouTube generation will easily consume such content from any device at any time.

Learning must be continuous – Enabling every day learning. Learning need not require gathering everyone once a quarter and providing a few days of training. They will forget most of it after a few weeks anyway. Instead, we should enable “learn this one thing today, learn something every day” model, where learning is essentially built into the DNA of everyone within organization.

Learning must be real-time – A product launched today must mean that everyone must be familiar with it by today, from a sales representative to a technician and the customer support team. A new issue and the relevant solution/ workaround must be available instantly. A new product launch by a competitor must mean that everyone in the organization must be familiar with it and be prepared when a customer walks in the door asking for a comparison.

Learning must be anytime, anywhere – One should be able to access the content from anywhere at any time through any device. If one has a busy work schedule, he/ she should be able to access the content, take an assessment and ask a question at any time. Those who can attend a live session must be able to attend from anywhere and the rest should be able to access the recording at any time.

Learning must be evaluated/ measured – Self assessment (to get some idea about whether the concept/ feature was understood clearly) must be immediately followed after watching/ reading the bite-sized content. Periodic formal assessment will also help in evaluating how much an individual or the organization is familiar with the things they are supposed to know. Measuring the current level of knowledge, identifying areas of weakness and providing updated content focused on weak areas must be a continuous process.

Learning must be collaborative – The ability to provide feedback, suggest options and ask questions must be an integral part of the learning process. The learners themselves can contribute to the content by sharing related information/ reference material or by asking the right questions. It is not a one way lecture, rather it is a collaborative process where everyone collectively participates in sharing and spreading of knowledge.

Learning must be interesting and incentivized – Content must be minimal and interesting. For example, watching an expert explaining the features of a product as a small video clip is far more interesting and effective than reading a product manual. Sufficient incentive (monetary or otherwise) must be provided to encourage every day learning and contributions to the learning process.
